Short answer: use the WhatsApp Business app if you have one phone and a small number of chats. Use the WhatsApp Business API when several people must reply, when you want chatbots and automation, or when you need to message thousands of opted-in customers.
The main differences
| Feature | WhatsApp Business app | WhatsApp Business API |
|---|---|---|
| Who can reply | One phone, with a few linked devices | Many team members through software |
| Bulk messages | Broadcast lists to saved contacts, with limits | Approved template messages to opted-in customers at scale |
| Chatbots | Basic auto-replies | Full chatbots and software integrations |
| Cost | Free to use | Software cost plus per-message charges |
| Setup | A few minutes | Business verification and template approval |
When the API is worth it
- Your team receives more chats than one phone can handle.
- You want to send order updates, reminders or offers to a large customer list.
- You want a chatbot to answer common questions, day and night.
- You want reports on delivery, reads and replies.
Rules to remember
Customers must opt in before you send them marketing messages. Outside the 24-hour window after a customer's last message, you can only send approved template messages. Meta also rates message quality: if many people block or report your messages, your sending limit can drop.
